Privacy Policy

The short version

1. Who we are

OneSpace is a desktop research workspace that lets you read and highlight PDFs alongside your drafts, with an AI assistant. This policy explains what information OneSpace ("we") handles when you use the app, and the choices you have. Questions any time: support@onespace-app.com.


2. Information we collect

Account information. When you create an account we collect your name and email address — and, if you sign in with Google or Microsoft, the basic profile they share (name, email, profile photo). Sign-in is handled by Google Firebase Authentication. We also keep a basic profile record (your name, email, profile photo link, and sign-in timestamps) in our database so the app can recognize you.

Your work, on your devices and in your cloud library. The documents you open in OneSpace — PDFs, drafts, highlights, and notes — are stored on your device. When sync is on (it is by default), OneSpace also keeps a copy in your private cloud library so that signing in on another computer brings your work with you, and so a lost or replaced computer doesn't mean lost work. Your cloud library is stored with Google Cloud (Firebase), encrypted in transit and at rest, and database and file access rules restrict it to your signed-in account. We do not have routine access to it, we do not read it, and it is never used to train AI models. Working files the app creates to be fast (page previews, search indexes) stay on your device, separated per account. You can turn sync off on any device from the Account page, or keep an individual space off the cloud entirely ("Keep on this Mac only"); its contents are removed from your cloud library and nothing further is sent for it.

AI assistant conversations. When you use the AI assistant, your messages — along with the content of documents you've included in the conversation — are sent over encrypted connections through our server to Anthropic, our AI provider, to generate the response. Under Anthropic's commercial terms, this content is not used to train their models. We keep per-account usage counts (how much you've used the assistant, to apply fair-use limits) but our server does not keep a copy of your conversations — your chat history is stored on your device and, when sync is on, in your cloud library alongside the rest of your work. Like most cloud services, the infrastructure our server runs on (Google Cloud) records standard technical logs for each request — timestamps, sizes, and error details, not the content of your conversations. Anthropic retains AI inputs and outputs for a limited period (currently up to about 30 days) for abuse monitoring and then deletes them; zero-data-retention arrangements are available for organizational deployments.

4. Where information lives, and how it's protected

Account information and, when sync is on, your cloud library (documents, drafts, highlights, notes, and chat history) are stored with Google Firebase (Google Cloud) in the United States. All communication between the app, our server, and our providers uses encrypted connections (TLS). Database and file-storage access rules restrict your account record and your cloud library to your signed-in account alone. The app also contacts our server to check for updates, and some optional components — for example the text-recognition (OCR) engine — are downloaded from our software providers' servers the first time you use them; those downloads carry no information about you or your documents. The AI service key is held on our server — never inside the app on your device.

5. Keeping and deleting information

We keep your account information for as long as you have an account. To delete your account and the information we hold about it, email support@onespace-app.com and we'll take care of it promptly. Your library is under your control — deleting a document, draft, or highlight in the app removes it from your cloud library too, and removing the app clears its data from that device. When you delete your account, we delete your cloud library with it.

6. Students and institutions

If you use OneSpace through your school or university, your use may also be covered by your institution's own agreements and policies.

7. Children

OneSpace is not directed to children under 13, and we do not knowingly collect personal information from them.

8. Changes to this policy

If we change this policy, we'll post the updated version here with a new effective date. Meaningful changes will be highlighted in the app or by email.
